Platform Tutorial
Everything you need to know about navigating the site, managing your profile, and operating the wall.
User Guide
Basic functionality for all registered users.
Voting on Climbs
The Interactive Map on the Wall page represents the physical layout of the 87 Gym rock wall. You can interact with it to find and rate routes.
- Click on any route marker on the map to highlight it in the table below.
- Alternatively, click a route in the table to highlight its location on the map.
- To vote, select a route and submit your perceived Grade (V-Scale) and a Star Rating for quality. Your votes calculate the community average.
- You do NOT need to submit both a Grade and a Star Rating for a climb. Partial votes are accepted.
Notifications
Get notified on updates to the hours you frequently attend. Notifications can be added on the Calendar page and removed on the Profile page.
- To add notifications for hours, click the hour card on the Calendar page to open the details modal, then navigate to Notification Settings.
- You can subscribe to This Session Only (one-time alert) or the Weekly Series (alerts for all future occurrences).
- To remove notifications, you can disable them from the hour card details, or manage all of your subscriptions in the Notification Manager on your Profile page.
- All updates (like cancellations or time changes) are sent directly to your registered email address.
Navigating Analytics
The Analytics page provides a bird's-eye view of club operations. You can view current active routes, setter leaderboards, and historical data. Below the main dashboard, you'll find the Reset Archive. Clicking on any past reset will show you the exact routes and stats from that era of the wall.
Managing & Archiving Your Profile
You can update your Name, Major, Class Year, School Email, and Bio from the Profile page. If you graduate or wish to leave the platform, you can Archive your Account in the Danger Zone.
Note on Archiving:
- You will be logged out immediately.
- Your personal data is stripped, but your public data (routes set, hours hosted, votes) will be preserved in an anonymous "Ghost Account" to keep historical analytics accurate.
- If you ever return, an Admin can generate a Recovery Key for you to reclaim your data.
Leader GuideLeader Feature
Tools for managing the wall and scheduling.
Adding & Editing Routes
Wall Leaders and Chairs have exclusive access to manage routes.
To Set a New Route:
- Go to the Wall page and click the green + NEW ROUTE button.
- Click anywhere on the Interactive Map to drop the location marker.
- Fill out the details in the modal, including the Route Name, Grade, and Tape Color.
- Adding Setters: You can add yourself, or use the search bar to find and add co-setters. Anyone added to this list will be granted edit permissions for the route.
To Edit an Existing Route:
- Click the route in the table and press the Edit button.
- To change its physical location, click the MOVE MARKER button inside the edit modal, then click the new location on the map.
Calendar & Hour Management
Keep the community informed by managing the schedule accurately.
- Adding Hours: On the Calendar page, click + ADD HOURS. Select the shift type (Open, Club, or Special), time, and whether it repeats weekly.
- Editing: Click any existing shift on the calendar, then click Manage Event Settings. The Edit Details tab allows you to change times, co-hosts, and the event title.
- Canceling vs. Deleting: Please use the Status & Deletion tab to Cancel a session rather than deleting it. This crosses out the event on the calendar, providing better transparency to users that the wall is closed.
- Recurring Shifts: When editing a recurring shift, you will be prompted to apply the change to just that event, or that event and all future occurrences.
- Notifying Users: When making a critical change, check the "Send email notification to subscribers" box to automatically alert anyone tracking the hours.
Adding Guest/New Setters (Setter Keys)
If someone sets a route but doesn't have an account yet, you can create a temporary "Setter Key" for them so they can be credited immediately in the route builder.
- Navigate to the Admin Dashboard from the Profile page.
- Under Active Keys, type their name, select their desired role (
SETTERorLEADER), and click Create Key. - Copy the generated token and send it to them.
- The user must create a standard account, go to their Profile page, and paste the code into the Have a Setter Key? form to inherit their routes and role permissions.
Chair GuideChair Feature
High-level club operations, resets, and database management.
Managing Wall Resets
When the wall is reset, those routes must be archived. Archiving removes them from the interactive map but preserves their voting and setter statistics forever.
- Go to the Wall page and click MANAGE RESET.
- Click routes on the map or table to select them, or use the SELECT ALL button.
- Click the large red ARCHIVE ROUTES button at the bottom of the screen.
- Provide a descriptive Reset Name to assign to the removed climbs (e.g., "Halloween Comp 2025 Reset"). This name acts as the title for the archive block generated on the Analytics page.
Making Announcements
Chairs can post directly to the Announcements feed, which is displayed on the homepage.
- Formatting: The announcement editor supports Markdown formatting, including Bold, Italic, Underlines, Lists, and Links.
- Color Coding: Assign a color flag to your post, this can be correlated to importance (e.g. red for alerts)!
- Pinning: Check the "Pin to Homepage" box to place your announement on the home page.
Role Management
In the Admin Dashboard, the Member Management table allows you to alter user roles. While Leaders can promote users to Setters, only Chairs can promote individuals to Wall Leaders. Be aware that promoting a new Chair will automatically demote yourself to Wall Leader. Avoid deleting accounts directly; instruct users to Archive their accounts instead to preserve analytics.
Semester Definitions
To ensure the Analytics page correctly calculates "Hours Hosted This Semester," you must define academic terms. In the Admin Dashboard, use the Semesters tool to set the Start and End dates for upcoming terms. The system will automatically mark the current semester as "ACTIVE" based on today's date.
